How we collect, use and protect your personal information, in line with the Australian Privacy Principles.

AI Vendi Pty Ltd ("AI Vendi", "we", "us" or "our") is committed to protecting the privacy of individuals we deal with, in line with the Australian Privacy Principles (APPs) contained in the Privacy Act 1988 (Cth). This policy explains what personal information we collect, why we collect it, how we use and store it, and how you can access, correct or complain about the handling of your information.

This policy applies to information collected through aivendi.com.au, our enquiry and quote forms, our Meta/Facebook lead ads, and in the course of supplying and supporting AI Vendi smart vending machines.

2. What personal information we collect

We only collect personal information reasonably necessary for our business functions. Depending on how you interact with us, this may include:

  • Name, business name and job role
  • Email address and phone number
  • Details you provide about your sites, machines or enquiry (for example, via our quote form or a Meta lead form)
  • Billing and delivery details, where you become a customer
  • Technical information such as IP address, device and browser type, and website usage data collected via standard analytics and advertising tools (for example, Meta Pixel, Google Analytics)

We do not knowingly collect sensitive information (as defined by the Privacy Act) unless it is volunteered to us and reasonably necessary, and we do not collect payment card details. Payments on AI Vendi machines are processed directly by our payment partner, Nayax, under its own privacy terms.

3. How we collect personal information

We collect personal information directly from you when you submit an enquiry, request a quote, complete a lead form on Meta/Facebook or Instagram, call or email us, or otherwise deal with us. We may also collect information automatically through cookies and similar technologies when you browse our website, and, where permitted, from publicly available sources or business partners such as Meta.

4. Why we collect, hold, use and disclose your information

We collect and use personal information to:

  • Respond to enquiries and provide quotes for AI Vendi machines
  • Process orders, deliver and install machines, and provide after-sales support
  • Communicate with you about your account, order or enquiry
  • Improve our website, products and services
  • Run and measure marketing, including advertising on Meta platforms
  • Comply with our legal obligations

We do not sell your personal information. We may disclose personal information to third parties who help us operate our business (for example IT and hosting providers, payment processors (Nayax), delivery and installation partners, and marketing platforms such as Meta) and only to the extent needed for them to provide services to us.

5. Overseas disclosure

Some of the service providers we use, including cloud hosting and advertising platforms such as Meta, may store or process information on servers located outside Australia (including the United States). Where this occurs, we take reasonable steps to ensure those overseas recipients handle your information consistently with the Australian Privacy Principles.

6. Cookies and website analytics

Our website may use cookies and similar tracking technologies, including the Meta Pixel, to understand website usage and measure the performance of our advertising. You can control or disable cookies through your browser settings; disabling cookies may affect some website functionality.

7. Direct marketing

We may use your contact details to send you information about AI Vendi products and offers. You can opt out at any time by using the unsubscribe link in our emails, replying "stop", or contacting us using the details below.

8. Data security

We take reasonable technical and organisational steps to protect personal information we hold from misuse, interference, loss, unauthorised access, modification or disclosure. No method of transmission or storage is completely secure, and while we work to protect your information we cannot guarantee absolute security.

9. Access and correction

You may request access to, or correction of, the personal information we hold about you. We will respond to reasonable requests within a reasonable timeframe, in accordance with the Privacy Act. We may need to verify your identity before providing access.

10. Complaints

If you believe we have breached the Australian Privacy Principles or mishandled your personal information, please contact us using the details below. We will investigate and respond to your complaint within a reasonable period. If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

11. Changes to this policy

We may update this policy from time to time to reflect changes in our practices or legal requirements. The updated policy will be posted on this page with a revised "last updated" date.
